Securely Storing and Managing Case Records
“Regulation 24 details the records that must be kept in supported accommodation. All young people’s case records must be kept up to date and stored securely whilst they remain in the setting. Case records must be kept up-to-date and signed and dated by the author of each entry.” – UK Government, 2023
Managing case records digitally is ideal for the collaborative nature of the care environment. With many involved in a young person’s care, case management software can act as a shared single point of truth.
Accessed via the cloud, Clearcare gives you the ability to easily record data at the point of care delivery. Designed to improve productivity and lighten the administrational load that case management brings, Clearcare’s Summary module gives you an overview of the data that matters to you.
Whether you want to check your to-do list, search for upcoming calendar events, build your rota, or keep an eye on care data in real-time, your Summary can do it all. You can even use your Dashboard to build custom widgets displaying the data that matters most to you.
You’ll have peace of mind that all care data is stored securely in the UK, with 2-factor authentication
We currently hold ISO27001 and ISO9001, alongside being Cyber Essentials Certified. This means we have been recognised as maintaining rigorous security and quality standards.
Documenting and Sharing Care Journeys
“The supported accommodation setting’s records on each young person represent a significant contribution to their life history. Young people and their parents should be supported to understand the nature of records kept by the registered person and how to access them.
Staff should understand their important role in encouraging the young person to reflect on and understand their history, according to their needs. Young people should be actively encouraged to read their records and to add further information to them. Young people should be consulted regularly on their views on the setting’s support in order to inform and influence continued improvement in the quality of support they receive. ” – UK Government, 2023
It’s never been more important to ensure that young people have more of a say in their care delivery – in fact, we developed our Young People app for exactly that purpose!
The rota functionality within the app lets young people easily see which staff will be available and when, which provides a greater sense of predictability and structure and makes them feel more secure.
Young people can also post feedback about any area of their care where they wish to contribute. This could include commenting on a procedure, asking a question, talking about a bad day or adding details and insights to their care journey. All communication from young people in this way will appear in your Clearcare Summary module to be actioned/responded to.
This tool isn’t designed to replace face-to-face communication – It simply gives young residents the ability to have their voice heard, on their terms.
Improve the Quality of Your Care Data
When it comes to demonstrating care outcomes, data is king. Paper records can often end up missing important details, and valuable hours can be wasted chasing for completed forms.
Each young person has their own individual needs while in supported accommodation, and part of the regulation requires providers to demonstrate that they have considered these needs in every case, delivering a package of support tailored for each young person’s objectives.
Embracing case management software empowers you to easily record your care data at the point of care delivery and, thanks to our young persons app, showcase their input into their care journeys.
Designed to reduce the administrational burden of collecting care data, our digital forms and electronic documentation can help you to save administration time and improve productivity. Perhaps most importantly, the ease of recording data and setting of mandatory fields paves the way for more detailed care records. This helps you to better evidence your care delivery and showcase positive outcomes for young people.
We use mandatory fields for filling out forms and compiling data. That means:
❌ No half-completed checklists
❌ No accidental overlooking of data
❌ No chasing care workers for unfinished paperwork
✅ All your data where you need it, when you need it
✅ Helps to demonstrate compliance
Reduce Inspection Anxiety
Inspections can be daunting, but case management software can help you to reduce inspection anxiety.
How? Clearcare empowers our customers to quickly demonstrate their compliance and care quality with just a few clicks.
As all care data is stored on Clearcare, regulatory reports can be produced in a matter of seconds.
